Administrative Assistant
Description Robert Half is currently recruiting for an established financial services firm in Fort Myers that is seeking a detail-oriented and professional Administrative Assistant. This role will be instrumental in ensuring the smooth daily operations of the office while being the first point of contact for clients, visitors, and internal staff. Front Desk Management: + Serve as the first point of contact, offering a warm and professional welcome to clients, visitors, and staff. + Answer and direct incoming calls using a multi-line phone system. + Manage the reception area to maintain a tidy and organized appearance. Administrative Support: + Assist in scheduling appointments and coordinating calendars. + Prepare and edit documents, reports, and correspondence. + Maintain and organize filing systems, both physical and digital. Office Operations: + Handle incoming and outgoing mail, packages, and deliveries. + Ensure office supplies are stocked and requisition new items as needed. + Assist with data entry, record maintenance, and basic bookkeeping tasks as required. Communication and Collaboration: + Coordinate with team members across departments to facilitate smooth workflows. + Act as a liaison between clients and financial advisors, ensuring prompt response and resolution of inquiries. Client Service Excellence: + Provide impeccable customer service to enhance the client experience. + Support event preparation and distribution of marketing materials when needed. Requirements + Education: High school diploma or equivalent required; college coursework or degree is a plus. + Experience: 1-3 years of administrative or receptionist experience (previous experience in financial services or a professional office setting is a plus) + Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Familiarity with CRM software or other office systems is an advantage. + Strong organizational and time-management skills. + Excellent written and verbal communication abilities. + Friendly and professional demeanor with strong interpersonal skills. + Ability to handle confidential information with discretion.
