Element has an opportunity for an Administrative Assistant, who is primarily responsible for managing all front desk duties e.g. relaying incoming telephone calls, greeting visitors/guests, facilitating incoming packages, and providing excellent customer service in a professional manner. This position also provides general administrative support for the laboratory by maintaining records, inventory, and logs as assigned.
Responsibilities Answers a multi-line telephone system, takes accurate messages, and transfers telephone calls to the appropriate person in an efficient mannerGreets and screens incoming visitors in a professional manner and promptly notifies appropriate person of their arrivalAssist guests with sign-in procedure per company safety and security requirementsOrder meals for visiting clients and employees when necessaryAssist with office events for ordering, preparation and breakdownReceives signs and logs in/out for courier deliveries & shipping and notifies appropriate personnel that packages have arrivedOperates standard office equipment to include multi-line telephone system, calculator, computer/printer, and photocopy machineAssist with travel needs for employeesPerform morning, afternoon and last rounds to ensure consumable items are re-stocked and shared spaces are tidied upSupport ordering: office supplies, snacks, breakroom supplies and other supplies for the locationSupport with new hire orientations, keeping active staff rosters, NDA informationProcess POs within the finance systemsSupport other administrative tasks as requested Skills / Qualifications Minimum 1 year+ experience in an (front-desk) administrative support role/training or equivalentAA degree or equivalentGood computer literacy in MS Word, Excel, Outlook, Adobe Acrobat, and Google AppsNatural ability to multitask and prioritize with minimum guidance and supervision in a dynamic fast changing environmentExcellent telephone and customer service skills
