What You’ll Be Doing 

As an Associate Wills Officer, you will play a vital role in supporting the Wills Department to enhance the maintenance and growth of over 10,000 Will Bank files and other key priorities within CIBC Trust Corporation. You will ensure that new client information is accurately recorded and reported, and that governing documents for both new and existing clients are reviewed to meet legal and business requirements. Additionally, you will develop and maintain procedures to optimize operations and reduce risks within the department, while also advancing relevant business and organizational strategic priorities.

How You’ll Succeed 

Document Management and Review - Responsible for managing and reviewing documents effectively. This includes inputting new deferred files into CIBC Trust’s operating system to ensure that all pertinent information is recorded accurately for future reference, including sales and financial monthly reporting. Review executed documents to confirm they meet our business requirements and provide constructive feedback to the drafting lawyer. Additionally, review draft documents to ensure compliance with our business requirements, including mandatory clauses, while identifying any potential issues that may arise. 

Client Support and Communication - Provide essential client support and communication. Act as a backup for the Wills Administrator by monitoring the toll-free line and responding to client inquiries. Additionally, assist with the semi-annual will review mailing, which involves organizing and maintaining spreadsheet data, responding to questions from clients or the Sales team, and managing file retrieval while updating our file information based on client responses. Furthermore, support the Senior Consultant, Professional Services, by acting as a backup to triage and review new deferred business, ensuring effective communication with the Sales team to obtain any missing information necessary to accept or decline the business. 

Relationship Management - Work closely with both the Senior Wills Officers and the Wills Administrator to ensure that workflow is managed effectively. Support the Senior Consultant, Professional Services, in assessing new business opportunities. Additionally, collaborate with the business development team to respond to their questions and provide updates on the status of client files. As part of the larger business unit, this role will involve interacting with clients, Trust Officers, business partners, external lawyers, and other CIBC business units, such as Finance, as needed. 

Project and Process Improvement - Participate in various assignments and projects as required, contributing to the overall success of the business unit. As a key contributor, have the authority to recommend changes to business processes aimed at enhancing operational efficiency and effectiveness, ensuring that the team continuously improves and adapts to meet organizational goals. 

Who You Are 

Technical Skills. You are comfortable with Microsoft suite of applications as well as adept as learning new technology specific to both organizational and business operational requirements.  

Analytical skills. You have the ability to analyze complex legal documents and situations, identify potential issues and develop appropriate solutions.  

You know that details matter. You notice things that others don't. Your critical thinking skills help to inform your decision making. You are accurate in work, with limited errors. 

You’re a certified professional. You have an entry level legal or operational knowledge of the preliminary elements of estate planning and estate administration. CETA and/or Trust and Estate Practitioner (TEP) designations preferred but willingness to enroll is also acceptable. Other financial accreditations would also be beneficial.  

Communication skills. You have strong verbal and written communication skills to effectively communicate with all internal and external stakeholders. 

You're passionate about people. You have strong interpersonal skills to build rapport with clients and other stakeholders required to provide excellent customer service. 

You're motivated by collective success. You develop an assessment of when to seek the advice of others in resolving issues and also when to reference policies and procedures in the performance of the role accountabilities.  

You act like an owner. You are comfortable taking direction and also working independently as well as in making recommendations to resolve issues. You have strong organizational skills and ability to prioritize and re-prioritize assignments and independent work
