Business Administrator - 12 Month Contract

We have a fantastic opportunity for a motivated Business Administrator to join our vibrant and enthusiastic group based in Brisbane. You will be proactively providing commercial and administrative support the Group across all different levels. You will collaborate with other Business Administrators locally and globally and attain great exposure to the design/engineering/construction industry.


The Opportunity

Coordinating meetings, workshops, and events, including supporting logistics, technical assistance, room bookings, catering, and documentation as required. Generating client invoices, liaising with the internal Project Manager re project costs & monthly invoicing as well as other project financial support such as adding project suffixes, undertaking project time transfers and updating project status. Meeting scheduling (and, at times, rescheduling) may include, but are not limited to, coordinating job interviews with candidates, face-to-face appraisals with team members and leaders, meetings with clients or guests of Arup, internal team meetings, project specific meetings, Town Halls etc. Client Relationship Management (CRM) entries – creating/updating leads, opportunities, client relationships, parent opportunities. Supporting supplier invoice processing ie: send to accounts for payment, edit invalid codes.

Is this role right for you?

Relevant industry experience in administration within a consulting/engineering/built environment business. Foundational awareness of health and safety best practice. Able to identify HSE risks, breaches or specific needs and follow internal processes to rectify. Good understanding of processes, guidelines and job instructions, with some knowledge on of nuances and ambiguities. Ability to multitask, balance demands, taking responsibility for tasks and delivering appropriate solutions. Looks for more efficient ways of working and improving operating expenditure.
