POSITION SUMMARY:
Marathon Petroleum Company's (MPC) Detroit Refinery in Detroit, MI currently has a vacancy for a Document Controls Coordinator.
KEY RESPONSIBILITIES:
Responsible for managing critical Project and PSM information by serving as the administrator for the following systems/functions: Document Control Leader, Document Librarian System (EDMS) Administrator.Supervises contract personnel as required to fulfill project document control objectives; responsible for training and developing these contract personnel in the use of the Document Librarian System (EDMS). In addition, will be responsible for training and/or coordinating training for all Document Librarian System users. (the supervisor of the group might do this or this might be something the more advanced doc controller does vs the proficient employee??)Ensures that up-to-date, reliable documentation is systematically available to all departmental, project and interface group users; ensures proper archiving of documentation. Ensures procedural compliance with Marathon's Corporate Records Management Policy for receipt, recording, distribution and archiving of all aspects of documentation; develops functional document control procedures to perform departmental and Project objectives. Coordinates with engineering personnel, vendors, and design contractors to identify and resolve document management problems in a timely manner. Develops efficient systems which use currently available communications systems to effectively manage information; ensures that all documentation is recorded and fed through the appropriate channels in an accurate and timely manner. Coordinates with IT Representative to ensure hardware/software issues are resolved. Manages ongoing responsibility for the archives; controls limited access to the document files. Ensures timely access, distribution, and filing of technical documentation. Manage equipment information coordination efforts through the use of the equipment TAG Reservation System to include subsequent population of asset data. Will include identifying and correcting data conflicts, data issues and other activities that impede the integrity. Will implement the work processes and security administration required to maintain a central equipment repository. Uses the Management of Change System to ensure equipment record updates to the Doc Lib database are complete. Approves all changes made in the Document Librarian system. (doesn’t actually approve changes of documents or the system itself but may ensure documents are routed for the right approvals or may be included on a team that works on EDMS updates) Ensures that inquiries and requests are handled efficiently to ensure users are furnished the most up-to-date documentation available. Interfaces with project engineering personnel regarding document control matters; interfaces with design contractors and vendors for the coordinated submission of technical documentation; interfaces with major projects document control to coordinate appropriate dissemination of information. Ensures maintenance of all aspects of documentation registers and records in order to provide value-added information. Participate on the EDMS advisory groups to ensure current practices are utilized.
EDUCATION AND EXPERIENCE:
