We are looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s Vice President and CFO, Oncology and Specialty and a Vice President, FP&A (PSaS) within the organization. Executive Assistant’s responsibilities include managing calendars, making travel arrangements, preparing expense reports, ad hoc special projects, and assisting within our Irving-based office. To be successful in this role, you should be well-organized, have great time management skills, and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.
Key Responsibilities
Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the company. Sustain a daily calendar of meetings and events. Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization. Arrange travel (including complex international trips) and accommodations for executives; prepare expense reports. Screen and triage emails in executive’s inbox; respond to requests by gathering and providing information. Excellent communication and time management skills; proven ability to meet deadlines. Ability to function well in a high-paced environment; performs additional duties as assigned by executives. Draft and prepare correspondence for internal announcements, and organizations that the executive is involved with. Manage the Executive's contacts. Be responsive to emails/texts/phone calls; contact outside normal business hours during travel periods may be needed. Use discretion, confidentiality, and good judgment to handle C-Level matters. Represent the company and the Executive in a positive light through great follow-through skills and sound judgment. Conserve the Executive's time by reading, researching, collecting information as needed, in advance.Complete ad hoc projects as assigned – such as offsite team meetings and internal events.Organize complex calendars and schedules; resolving any scheduling issues. Provide general assistance to visitors at the Irving office, as needed.Minimum Requirement
