Job Description

We are seeking an experienced and professional Executive Assistant to provide comprehensive, high-level administrative support to executive leadership. This role requires independent judgment, discretion, and a proactive approach to managing schedules, coordinating communications, and supporting strategic priorities. The ideal candidate is organized, resourceful, and capable of handling a variety of confidential and time-sensitive tasks.

ResponsibilitiesDeliver specialized administrative support to executive leadership including calendar management, meeting logistics, and communications.Coordinate complex scheduling needs, travel arrangements, and event logistics.Screen calls, emails, and incoming requests; prioritize and handle inquiries with professionalism.Draft, edit, and format documents including memos, reports, presentations, and internal communications.Attend meetings, take detailed notes, and track follow-up items to ensure timely completion.Develop and maintain databases, records, and filing systems.Act as department timekeeper and support payroll/timekeeping system entries when needed.Ensure smooth communication and coordination within and between departments.Handle sensitive information with a high degree of confidentiality and discretion.Essential SkillsAdministrative supportMicrosoft Office Suite (Outlook, Word, Excel, PowerPoint)Calendar managementExpense managementExecutive supportMinimum of 5 years of recent experience supporting executive-level leadershipAdvanced proficiency with virtual meeting platforms (Zoom, Teams, etc.)Proven ability to manage multiple competing priorities in a fast-paced environmentExcellent written and verbal communication skillsHigh level of professionalism and discretion when handling confidential informationStrong organizational, problem-solving, and decision-making skillsExperience with administrative tools, scheduling software, and timekeeping platformsAdditional Skills & QualificationsPrevious experience in a large corporate or healthcare environmentFamiliarity with Workday or similar enterprise resource systemsWork Environment

The role offers a fully remote work environment, allowing flexibility and convenience. Pay and Benefits

The pay range for this position is $30.00 - $35.00/hr.
