Location: NYC
We are seeking a highly organized, proactive, and resourceful Executive Assistant (EA)/ Chief of Staff to support our Chief Practice Officer (CPO). The ideal candidate will be a strategic partner who can manage complex schedules, handle confidential information, support high-level operational tasks, and serve as a liaison between the CPO and internal/external stakeholders. This role requires excellent communication, prioritization, and multitasking abilities.
Key Responsibilities:
Executive Support:
Manage and maintain the CPO’s calendar, including scheduling meetings, appointments, and travel.
Screen, prioritize, and respond to emails and phone calls.
Prepare briefing materials, agendas, reports, and presentations for internal and external meetings.
Project Coordination:
Support the execution of strategic initiatives led by the CPO.
Coordinate cross-functional projects and track deliverables and timelines.
Assist in research, data analysis, and creation of executive summaries.
Operational Efficiency:
Manage expense reporting, invoicing, and other administrative tasks.
Organize and maintain executive files and documentation.
Draft correspondence, meeting notes, and action item lists.
Stakeholder Communication:
Liaise with senior leadership, partners, and clients on behalf of the CPO.
Coordinate internal communications and ensure follow-up on key decisions and actions.
Confidentiality and Discretion:
Handle sensitive information with the utmost discretion and integrity.
Administrative Ops & Cross-Functional Projects (Dotted Line)
Serve as admin liaison for sales org’s use of the NYC office—coordinate space, supplies, printing, and access
Maintain a list of upcoming visitors/clients tied to sales org to aid in proactive planning
Coordinate all client experience for Fractal
Document meeting/event SOPs and suggest improvements to streamline operations
Provide backup calendar support for CFO or Chief Acquisitions Officer when needed (light coverage)
Join weekly admin syncs and contribute feedback and solutions
Coordinate logistics for key client visits, including travel, welcome materials, room setup, meals, and follow-ups
Organize and execute internal sales events (offsites, team buildings, trainings) in partnership with the admin team
Qualifications:
Bachelor’s degree preferred.
Minimum 5+ years of experience in an executive assistant or similar support role, preferably supporting C-level executives.
Experience in a professional services or consulting environment is a plus.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools like Slack, Zoom, and Teams.
Exceptional organizational, written, and verbal communication skills.
Ability to manage multiple priorities and meet tight deadlines.
High degree of professionalism, confidentiality, and judgment.
Pay:
The wage range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. At Fractal, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is up to $100,000. In addition, for the current performance period, you may be eligible for a discretionary bonus.

As a full-time employee of the company or as an hourly employee working more than 30 hours per week, you will be eligible to participate in the health, dental, vision, life insurance, and disability plans in accordance with the plan documents, which may be amended from time to time. You will be eligible for benefits on the first day of employment with the Company. In addition, you are eligible to participate in the Company 401(k) Plan after 30 days of employment, in accordance with the applicable plan terms. The Company provides for 11 paid holidays and 12 weeks of Parental Leave. We also follow a “free time” PTO policy, allowing you the flexibility to take time needed for either sick time or vacation.
