Assists the Medical Records & Transcription Regional Manager in the evaluation and implementation of operations. Responsibilities: + Supervise staff performing functions including reception, chart delivery and retrieval, assembly, analysis and reanalysis, incomplete chart processing, reconciliation process, mail/supply order processing and release of information. Work with staff to ensure benchmarks are met by each work group. Monitor staff’s productivity. + Maintain a thorough knowledge of hospital and department policies and procedures. Uniformly apply both to the staff and ensure compliance. Provide coaching/counseling to the staff that are not in line with both hospital and departmental policies and procedures. Develop and action plan with employees who need improvement. + Continually monitor and evaluate workflow daily. Define functions and assign job duties where needed. Adjust staff’s priorities as needed to achieve departmental goals. + Monitor/audit department activities for Quality Management (QM) and maintain the QM dashboard. Post the QM dashboard monthly in the department to keep staff aware of compliance. + Demonstrate the ability to problem-solve and determine root cause. Keep department management abreast of situation and outcomes. Work both independently and in teams to define the problem, analyze all alternatives/options, develop solutions, evaluate the alternatives/options, and follow through on actions. Track and trend the outcomes to determine if additional action is warranted. + Participate in the development and maintenance of staff through the process of hiring, orientation, training, cross-training and evaluating. Keep employees informed of performance both positive and negative. Provide feedback to employees. Assess employee potential for learning new responsibilities or opportunities for advancement. Provide opportunities for employee participation in their performance appraisal process. + Encourage employee participation in the operations of the department. Involving employees in certain decision-making processes, encouraging involvement in team activities, responds to feedback and suggestions for change/improvement. Maintain an honest environment in which the employee feels comfortable to state their concerns/opinions/values/fears, etc. without negative ramifications. + Provide effective leadership through motivation and guidance to staff. Demonstrate ability to direct/teach/coach/supervise employees to achieve maximum potential. Demonstrate effectiveness in resolving employee conflicts/concerns/issues. + As directed, provide information or data to various requestors. Monitor requests for merged records and ensure process is completed timely. + Demonstrate an excellent working relationship with the medical staff. Resolve any issues brought up by the medical staff and follow through on actions. Respond back to medical staff with any appropriate information in a timely and professional manner. + Process payroll including monitoring of accruals. Approve and schedule time off requests ensuring appropriate staff coverage. Counsels employees who are not following hospital/departmental times and attendance policies and procedures. + Demonstrate competency in utilizing the computer systems to complete assigned work. + Demonstrates a thorough understanding of the transcription process. Able to pull up transcription on the computer system and demonstrate the ability to correct reports and print out corrected copies as needed. + Demonstrate competency in the working knowledge in the incomplete record area and monitor the delinquent record process in the department. + Performs any other duties as assigned. Experience: + Minimum 2 years of Management/Supervisory HIM experience in a hospital or physician practice setting. Education: + Associate Degree, required. + Bachelor Degree, preferred. Licenses/Certifications: + RHIA, RHIT certification, preferred.
