Robert Half is seeking an organized and proactive Office Administrator to join a thriving organization in Miami. This role is ideal for someone who excels in managing office operations, coordinating administrative tasks, and supporting day-to-day office needs. Key Responsibilities:
+ Oversee daily office operations, ensuring everything runs smoothly and efficiently
+ Serve as the main point of contact for office inquiries, both in-person and via phone or email
+ Coordinate office supplies, ensuring adequate stock levels and timely orders
+ Organize and schedule meetings, conferences, and appointments for staff and executives
+ Manage office filing systems (both digital and physical), ensuring that documents are organized and easy to access
+ Assist in preparing reports, presentations, and correspondence as needed
+ Handle incoming and outgoing mail, packages, and deliveries
+ Process expense reports, invoices, and assist with budget tracking
+ Provide support for internal and external events, such as meetings, workshops, and team-building activities
+ Maintain and update employee records, ensuring compliance with company policies
+ Support HR and other departments with administrative functions as needed
+ Implement and maintain office policies and procedures to increase office efficiency
+ Ensure the office environment remains tidy, welcoming, and conducive to productivity
Requirements
What We’re Looking For:
+ Bilingual in English and Spanish (required)
+ Proven experience as an office administrator or in a similar administrative role
+ Strong organizational skills and ability to manage multiple tasks simultaneously
+ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
+ Excellent verbal and written communication skills
+ Ability to maintain a high level of professionalism and confidentiality
+ Strong interpersonal skills and the ability to work collaboratively with teams
+ Detail-oriented with the ability to prioritize and problem-solve effectively
+ Ability to adapt to a fast-paced work environment
+ High school diploma or equivalent required (Associate’s degree or relevant certifications preferred)
