Office Assistant
Description We are looking for a dedicated Office Assistant to join our team in Honolulu, Hawaii. This role requires a detail-oriented individual who thrives in a fast-paced environment and can handle a variety of clerical and administrative tasks. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a commitment to providing exceptional support to staff and clients. Responsibilities: • Deliver comprehensive administrative support, including recording and transcribing meeting minutes, assisting with project documentation, and managing billing and invoicing tasks. • Organize and maintain physical and digital filing systems, ensuring accurate archiving and efficient retrieval. • Monitor and replenish office supplies while maintaining the functionality of office equipment. • Perform light bookkeeping duties, including tracking accounts receivable and processing invoices. • Handle occasional courier responsibilities such as document delivery, post office visits, and bank errands. • Coordinate travel arrangements, schedule meetings, and assist in planning company events, including holiday parties and training sessions. • Operate binding and printing equipment to produce high-quality project materials as needed. • Answer incoming calls and manage reception duties with a courteous and attentive demeanor. • Perform various other administrative tasks as assigned by management. Requirements • A minimum of 1 year of experience in an office environment. • Proficiency in Microsoft Word and Excel, with the ability to adapt quickly to new software. • Strong written and verbal communication skills, with attention to detail and accuracy. • Ability to work independently after initial training and handle confidential information responsibly. • Must possess a valid driver’s license and be capable of occasional lifting of file boxes. • Dependable with a strong attendance record and a detail-oriented demeanor. • Demonstrated integrity, a strong work ethic, and the ability to multitask effectively.
