Primary mission:
As a Rooms Controller, you will work with many departments responsible for maintaining and selling guest rooms. You will ensure that current and future rooms are blocked with special requests to ensure guest satisfaction.
SCOPE OF WORK + TEAM
Reports to Director of Rooms Supports the Front Office, Housekeeping, Engineering, Sales, & Revenue DepartmentsRESPONSIBILITIES
Serves as a liaison between the Front Office, Sales, Housekeeping, Engineering and Revenue Run daily reports. Identify any over-commitments. Perform duplicate reservation checks, block rooms. Reviews daily no-shows report and coordinates with sales on group no shows, in-house, and arrivals report on a daily basis Review daily arrivals to identify and action special service request codes, VIP reservations, package rates, etc. Ensure blocking is done for all Special Service Requests and VIPs. Reviews group resumes to verify group billing procedures. Reviews Arrivals Report for all arriving guests on a daily basis to ensure appropriate pre-blocking of rooms. Coordinate special services and/or amenity delivery arrangements Check the Comments Report for room changes, late check-outs, and informational messages. Review room type inventory and balance any oversold room types. Monitor room category and bedding availability in the PMS vs. online, up to three days in advance, to prevent overbooking. Review out-of-order rooms daily. Ensure rates match market codes, document and correct any exceptions. Checks the status of all Out-of-Order rooms on a daily basis. Manage Out of Order/Hotel Room Block inventory, following up with departments such as Housekeeping, Engineering, Front Desk and updating the Revenue Management team. Enter rooming lists with 24 hours of receipt. Ensuring all guest information is accurate according to rooming list provided by group sales manager. Ensure there are no gaps in room assignments, helping to maximize revenue. Input reservations lists for group and contract business. Input reservations on promotional offers when rate plans do not correctly interface with property management systems. Create group booking links when applicable. Proactively identify potential inventory issues. Promotes and applies teamwork skills at all times.EXPERIENCE:
Prior Experience:2+ years' experience working in hotels or front desk. IT Expertise:Advanced knowledge of computer software (including Microsoft Office, outlook) and or micros station. Education:High School diploma or GED required; college degree preferred. Subject Expertise: Familiarity with daily hotel occupancy reports, status of available rooms, etc. Is polite, friendly, and helpful to guests, employees, and management Collaborates with guest and staff alike in a positive and professional manner Excellent guest service skillsOTHER EXPECTATIONS:
Abide by payroll policies, procedures and rules of conduct as stated in the Springboard Hospitality Associate Handbook. Demonstrate a working knowledge of all company safety and security procedures. Travel required: As needed for hotel. Hours Required: 8-Hr Shift/Scheduled days primarily overnight and times may vary based on need. Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position. Due to the cyclical nature of the hospitality industry, associates may be required to work varying schedules to reflect the business needs of the hotel.
