Job Description

Join the MercyOne Family! We are looking to hire a Surgery Scheduler / Secretary.

As a Surgery Scheduler / Secretary at MercyOne, you will be Under limited supervision, conducts charge entry and audit for both Surgery and Anesthesia; helps answer all department phone calls including surgical scheduling; updates staff timecards (Kronos); and performs a variety of secretarial and general clerical duties for the Surgical Services Department. Performs surgical case scheduling, updates scheduling grid on computer, runs reports, and orders special surgical and office supplies.  Aids in keeping surgery schedule updated and accurate regarding cases and communicates add ons/delays to Surgery Leadership and surgical team members.   

Schedule:

M – F; Days Flexible 20 hours per week

General Requirements:

Is responsible for entering Ortho and Spine Implant information in Trinity Health System daily.  Also enters orders for bill only, replacement, and requisition supplies and implants in the Peoplesoft system.  Demonstrates competence and fluency in utilization of the computer equipment as demonstrated by scheduling, ordering and logging of surgical procedures, usage of tracking boards, and computer maintenance, where appropriate. May help coordinate with Sterile Processing department for needed supplies, reps and equipment.Is knowledgeable of lab tests ordered in surgery and is astute at setting priorities for emergent and urgent orders.Maintains a working knowledge of surgical procedures, and surgery lab test, understands how to order case carts and tests needed by surgeons, anesthesia personnel and staff, and orders them independently. Orders and maintains office supplies.Keeps surgery schedule current and accurate with cancellations, delays and add-ons. Informs all surgical team members and departments involved in the case. Relays accurate messages or reports to nurse in charge or appropriate personnel in a timely manner, exercising good judgement.Assists with the coordination of incoming and outgoing communication to the department, including inquiries from other hospitals and providers. Answers departmental phone appropriately and efficiently, assuring the transmission of communication and relevant information to OR personnel, surgeons and anesthesia personnel. Receives and records reports/messages from other departments, and utilizing good judgment, relays information to nurse in charge or other appropriate personnel.Is accurate and proficient in the review of surgery and anesthesia records and charges. Determines that all charges are accounted for and process charges on a daily basis.Accesses patient accounts, and surgery scheduling system to verify and make available charge information to patients and authorized personnel.Conducts financial audits as required and runs requested reports from surgery scheduling system.

Education:

Must be a high school graduate or equivalent (degree) with post high school related courses required.Requires a minimum of one to two (1-2) year’s prior experience in the secretarial/clerical field, in a health care setting.  Medical/surgical terminology required. Prior customer service experience required.Ability to function effectively under stressful and in emergent situations.  Possesses excellent     emotional maturity with outgoing personality and self-confident attitude to deal with all levels of the public and/or patients. High school graduate or equivalent degree with post high school related courses required.
