Travel Assistant
**Program Description:** **Regional Disaster Response Program (RDAP) ** Under the RDAP, Amentum will provide comprehensive solutions to build disaster management and disaster risk reduction capacity across 31 countries in Latin America and the Caribbean (LAC) including but not limited to program management, technical assistance, training, and disaster and complex emergency response through leading-edge logistical solutions.     Amentum efforts will include multiple objectives. The first is to lead and coordinate humanitarian assistance responses to complex emergencies and natural disasters across the region by maintaining capacity to analyze emergency impacts, scale, and immediate humanitarian needs while maintaining capacity to deploy first-class trained and operationally ready disaster response staff in each country, procuring emergency response commodities and services, capturing lessons learned and developing and disseminating information related to disaster events and the United States Government disaster risk reduction programing. The second objective is to build capacity of national emergency management systems and other local or regional entities to mitigate, prepare, and respond to disasters by analyzing capacities and applying country-level strategic planning and technically innovative training. The third objective is to deliver an advanced disaster assistance program through highly qualified technical assistance that applies tailored approaches and best practices to implement effective and appropriate response support through a continual improvement model that draws on evidence-based data to guide decisions and activities. **Job Title:** **Travel Assistant**      The Travel Assistant position will be responsible for travel coordination, travel tracking, travel document maintenance, ensuring all required travel approvals are secured and on file, developing all travel related RDAP contract deliverables and supporting travel cost tracking to ensure all costs are within the RDAP approved Travel CLIN budget. The Travel Assistant shall lead travel arrangement/scheduling to support training, technical assistance and disaster response efforts throughout the LAC region. The Travel Assistant shall be required to follow all Amentum and USG rules, policies and regulations regarding RDAP related travel and shall work closely with Amentum’s travel desk to ensure all program travel is compliant. The Travel Assistant will report to the RDAP Deputy Chief of Party. This position is based in San Jose, Costa Rica. **Key Responsibilities:** + Provide travel scheduling and coordination for RDAP staff per the approved International and In-Country Travel plans. + Prepare all contractually required travel-related deliverables. + Ensure all contractually required travel approvals are secured and on file prior to arranging travel in support of the RDAP. + Arrange program staff air travel and lodging booking and maintain a copy of all documentations for the files. + Coordinate with the finance team to reconcile any travel related RDAP finances expenses. + Ensure all program staff travel arrangements, documents, and document processes are compliant for the client and corporate regulations. + Coordinate with Amentum’s corporate travel provider/travel agencies to book all travel in accordance with Amentum travel policy. + Maintains comprehensive and updated files and performs regular review to ensure documentation is complete. + Works with supervisor to ensure that all travel is within the approved budget for the applicable RDAP travel cost line item number (CLIN) to ensure that RDAP travel does not exceed the Travel CLIN allocation. + Maintain physical and virtual documents of travel bookings and payments as necessary. + Ensure the maintenance of hard and electronic files and assist in maintaining tracking systems for travel related documents such as: travel authorizations, vouchers, scanned passports, photos, medical evacuation policy information, etc. + Lead, with the support of the logistics coordinator, the preparation of the monthly International and In-Country Travel Plans (ITP and ICTP) and all travel related deliverables. + Process monthly program credit card payments related to travel bookings per the RDAP contract budget and corporate regulations and travel policies. + Follows email maintenance requirements, communications, line reporting and timekeeping protocols, as established by Amentum, and abides by Amentum ethical code of conduct. Takes required trainings on time, as required by Amentum.  + Carry out other duties and responsibilities as directed.  **Qualifications:** + Proficiency in Spanish and English Level 4 minimum required, Level 5 preferred. + Bachelor’s degree preferred, or commensurate professional experience + 1-4 years of office experience providing travel and logistics support. + Strong organization skills and ability to multi-task. + Position requires the ability to work in high pressure situations occasionally exceeding normal business hours. + Must have strong verbal and written communication skills as well as the ability to work independently or in a team environment. + Knowledge of disaster response industry and programming preferred  + Knowledge of USAID programming is preferred.  + Proficiency in Excel and other MS Office programs preferred.
