Vibee - Venue Production Manager

THE ROLE This role focuses on overseeing all aspects of event production, and involves managing the logistical elements of the build, and maintenance of the fan event space. RESPONSIBILITIES Including but not limited to: Event Production + Create comprehensive event timelines and manage all logistical aspects of various events + Manage budgets, timelines, and resources for multiple concurrent productions + Oversee equipment inventory, maintenance, and upgrades + Coordinate transportation, setup, and breakdown of event equipment and materials + Manage venue relationships and oversee site planning + Provide insights and recommendations based on fan interactions and feedback to enhance future events Operational Oversight + Develop and maintain standard operating procedures + Ensure efficient workflow and resource allocation + Manage operational expenses and financial settlements + Manage event shuttle schedule, and coordinate necessary logistic components including venue and vendor communication + Manage event credential orders and access operations + Create clear event-specific checklists and procedures + Advance and manage necessary day of show staff, including food and beverage, cleaning and maintenance, and security + Establish standardized communication protocols + Maintain a high standard of cleanliness and organization, ensuring event spaces exceed client expectations + Oversee venue security operations, including event lock-up, security advance planning, and real-time camera monitoring Staff Management + Create and manage weekly staff schedules, balancing workload efficiently within budgetary constraints + Monitor staff breaks in accordance with local labor laws and uphold all policies and procedures. + Address and resolve staffing issues promptly to maintain smooth operations. Work with HR as needed + Uphold safety protocols and maintain a risk-free environment, promoting awareness among staff Administrative Duties + In collaboration with the event producer and project manager(s), manage budget allocations for staff, supplies, and other operational needs, ensuring financial efficiency + Ensure all administrative processes are completed on current company used programs and shared docs to ensure efficiency in all administrative tasks. (Ex. Timekeeping, budgeting, employee recruiting and performance notes, logistics tracking, etc.) + Maintain accurate records of staff performance, attendance, and any incidents that occur during events + Ensure all required documentation (waivers, releases, etc.) is properly completed and filed according to company processes + Other duties as required Qualifications: + Minimum 3 years in Event Production with a proven track record in leadership roles focused on fan experience, customer service, or hospitality, preferably within the entertainment industry. + Demonstrated reputation for excellence with at least 5 professional references. + Superior communication and organizational abilities with strong multitasking skills. + Proficient in Google Suite applications; particularly Google Sheets. + Ability to work long hours with a flexible schedule, accommodating operational needs. + Capable of responding professionally to changes and unexpected situations in a dynamic event environment. + Willingness to work evenings and weekends as required by event schedules. WORK ENVIRONMENT + Must be able to tolerate loud noise levels & busy environments on site at our events + May sit for extended periods of time and work in drastic temperature climates. + Must be willing to work during evening and weekend hours, as required, to meet deadlines + Must be willing to travel as required.
